Information we collect
When you contact us, we may collect your name, email address, telephone number, service required, journey details and the contents of your message. If an enquiry progresses, we may need additional identity, travel, payment, insurance and medical information to assess and arrange a safe transfer.
Please do not include unnecessary medical information in the website enquiry form. We will tell you how to provide sensitive documents securely when they are required.
We also collect limited technical information such as IP address, device and browser information, security logs and cookie choices. Analytics or advertising technologies are used only in accordance with your consent choices where consent is required.
How we use information
- To respond to enquiries, assess requirements and prepare quotations.
- To arrange and deliver medical transport or repatriation services.
- To communicate with patients, representatives, insurers, hospitals and transport providers.
- To protect our website, prevent fraud and maintain records.
- To comply with legal, regulatory and professional obligations.
- To improve our website and measure its use where permitted.
Our lawful bases
Depending on the circumstances, we rely on steps taken at your request before entering a contract, performance of a contract, legitimate interests, legal obligations and consent. Where we process health or other special-category information, we also rely on an appropriate condition under UK data-protection law, such as explicit consent, health or social-care purposes, vital interests, or the establishment or defence of legal claims, as applicable.
Who we share information with
We share information only where necessary and lawful. Recipients may include our clinical and operations team; hospitals and healthcare professionals; ambulance, airline and medical-escort providers; insurers and assistance companies; payment, email, hosting, IT, security and professional advisers; and public authorities where required by law. Service providers act under appropriate contractual and confidentiality obligations.
International transfers
International medical transport can require information to be shared outside the United Kingdom. Where UK data-protection law applies, we use an approved safeguard or another lawful transfer mechanism and limit information to what is necessary.
How long we keep information
We keep enquiry information only for as long as needed to respond, provide services, manage disputes and meet legal, regulatory, insurance and professional record-keeping requirements. Retention periods vary according to the nature of the record. Information that is no longer required is securely deleted or anonymised.
Your rights
You may have rights to access, correct, erase or restrict your information, object to certain processing, receive portable data and withdraw consent. These rights are not absolute and may depend on the circumstances. Contact enquiries@esat.info to make a request.
You may also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.
